Privacy Policy

This Privacy Policy describes how the GreenCRM Sales Copilot Chrome Extension ("Extension") handles information when you use it during sales meetings on Google Meet and Microsoft Teams.

1. What Data We Collect

The Extension collects the following data during an active meeting session:

• Meeting audio & transcript (website content) — the meeting audio (your microphone plus other participants) is captured from the meeting tab and streamed over an encrypted connection to the GreenCRM backend, which relays it to a speech-to-text provider to produce a live transcript. Google Meet / Microsoft Teams on-screen captions may also be read as a fallback.
• Meeting recording (optional) — if you start a recording, the captured audio/video of the meeting is uploaded to and stored in your GreenCRM account for later review.
• Personally identifiable information — participant names and email addresses (from the meeting and your Google Calendar / connected CRM) used to match the call to the right contact and to fetch a pre-call briefing.
• Authentication information — your GreenCRM login token is stored locally on your device so the Extension can talk to your GreenCRM account. We never see or store your password.
• Meeting metadata — meeting URL and start/end timestamps.

2. How We Use the Data

• To display a live transcript and AI-generated suggestions in the Copilot overlay.
• To generate a post-call summary and automatically log it to your GreenCRM account.
• To retrieve relevant knowledge-base articles during the call.
• To draft a post-call follow-up email (with your review and approval).

Data is processed only within your organization's GreenCRM instance (crm.pf.com.pk) or on your local machine (overlay).

3. Data Storage & Retention

• Audio streamed for live transcription is processed in real time and not persisted as raw audio on any server.
• If you explicitly start a recording, that recording is stored in your private GreenCRM database until you delete it.
• Transcript text and meeting summaries are stored in your private GreenCRM database, accessible only to your team.
• Your GreenCRM login token is stored locally in the browser and cleared on sign-out.
• You can delete any call record or recording from the GreenCRM interface at any time.

4. Data Sharing

We do not sell or rent your data. To provide the service, data is processed by the following service providers on our behalf (never for their own purposes):

• Soniox — speech-to-text. Meeting audio is streamed for real-time transcription and not retained by us as raw audio.
• Google Gemini API — AI-generated suggestions and summaries; limited to transcript excerpts. Governed by Google's Privacy Policy.
• Your GreenCRM instance & its knowledge base (crm.pf.com.pk / automation.pf.com.pk) — stores your transcripts, summaries and CRM records, and answers product questions during the call.

All processing serves the Extension's single purpose (real-time sales assistance on your own calls). We do not transfer data to third parties for unrelated purposes, and never for creditworthiness or lending decisions.

5. Permissions Justification

• sidePanel — Renders the entire copilot UI in the Chrome side panel.
• tabCapture — Captures the meeting tab's audio for transcription and optional recording.
• offscreen — Manifest V3 requires an offscreen document to run the audio recorder outside the service worker.
• scripting / activeTab — Injects the copilot into the active Google Meet / Microsoft Teams tab to read captions/participants and tap audio.
• tabs — Detects when a meeting tab is open and coordinates the panel and recording with it.
• storage — Stores your GreenCRM login token and small UI preferences.
• notifications — Alerts you to an upcoming meeting and when the post-call summary is ready.
• alarms — Periodic background checks for upcoming meetings and to keep your login synced (MV3 service workers are short-lived).

6. Children's Privacy

This Extension is intended for professional business use only. It is not directed at individuals under 18 years of age.

7. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of the Extension after changes are posted constitutes acceptance of the updated policy.
